"Manage Statuses": Adding Your Own License Statuses to License Tracker

When you add a license in your License Tracker module, the system applies one of two license statuses to it (based upon expiration date): "Valid" or "Past Due". We certainly understand there are many more possibilities here with regard to the status of a license, which is why we build a feature for you to create your own license statuses!

Adding / Editing Custom License Statuses

Simplifya allows you to add an unlimited number of customized license statuses so you can more easily and accurately track your licenses. Your customized license statuses can be applied to licenses in any license category, and can be changed or removed at any time.

Adding a new License Status

To add a new License Status:

1. Click the ellipses () icon in the top right corner of your Licenses module.
2. Click "Manage Statuses".
3. In the modal that appears, click the "+ Add Status" button.
4. Add the name of the new status (20 character maximum).
5. If you'd like to add a custom color for your status, click the "Choose color" button and use the drag option.
6. Click "Done" next to the name of your status.
7. Click the "Save Statuses" button to save your status(es).

Editing a License Status

To edit a License Status:

1. Click the ellipses () icon in the top right corner of your Licenses module.
2. Click "Manage Statuses".
3. In the modal that appears, find the status you'd like to edit and click green pencil icon ().
4. Edit the name or custom color of your status.
5. Click "Done" next to the name of your status.
6. Click the "Update Statuses" button to save your changes.

Deleting a License Status

To delete a License Status:

1. Click the ellipses () icon in the top right corner of your Licenses module.
2. Click "Manage Statuses".
3. In the modal that appears, find the status you'd like to edit and click red 'x' icon ().
4. Click the "Save Statuses" button to save your changes.

When deleting a custom license status, any licenses in that status will switch to one of the default system statuses of "Valid" or "Past Due".

Using Custom License Statuses

Once you've created custom license statuses, you'll be able to add them to your licenses in the following places:

1. When adding a new license
2. When editing an existing license
3. By clicking on the ellipses menu next to a license and selecting "Edit Status"

If haven't created custom statuses or applied one to a license yet, your licenses will default to the system statuses of "Valid" or "Past Due" (based on the expiration date of the license).

Permissions

The following permissions apply when using License Statuses:

• Administrators: All Administrators can add, edit, and delete license statuses, and can also update the license status of any license on the account.
• Managers: Managers do not have access to the "Manage Statuses" feature, but can update the license status of any licenses at their locations.
• Employees: Employees do not have access to the License Tracker.
