Navigating the SOP Template Library Module
In the SOP Template Library module, the navigation is on the left side of the screen. The SOP Templates are first sorted by state and then by packages in each state. Upon clicking on a package, the list of SOP templates in that package will appear in the center of the screen:
For each template listed:
- We show the name, category, the date it was last revised by Simplifya, and the version number.
- You can see whether or not you've already saved it to your SOPs ("Last Saved Date").
- You can preview the content of the template by clicking the name. A preview modal will open that will allow you to see the content of the SOP template.
- In the preview modal that opens, you can save it to your SOPs. After doing so, the saved version will appear in your SOPs module for you to edit and customize for your business.
Tip: Most SOP template names are prefixed with "CLT", "DST", "MFG", or "RET" to indicate which activity the SOP pertains to. This is to help differentiate the SOPs after you've saved them, in the event you've saved 2 templates with the same name but from different packages. For example, a template in the "California Retail SOPs" package will start with 'RTL -' (e.g. "RTL - Storying Inventory"), and a template from the "California Distribution SOPs" package will start with 'DST -' (e.g. "DST - Storying Inventory"). |
Previewing an SOP Template
To preview a template, simply click the template name. A preview modal will open that will allow you to read the contents of the SOP template, which will include all the components included in any other SOP, from the headers to tasks to citations.
For a refresher on the different parts of an SOP, read How do I create a new SOP?
Our Regulatory Analysts have provided all necessary details for your team. Regardless of activity, we provide you the definitions, resources, and context needed to complete the SOP to its fullest extent.
Note: Any task that has a citation attached to it is required by the regulations. Tasks without citations have been added because they represent best practices for a given activity.
Saving an SOP Template
Until an SOP has been saved to your account, you'll only be able to preview it. Once you find a template you'd like to add to your company's SOPs, you can do so by clicking the "Save to my SOPs" button in the SOP Template previewer modal.
Once an SOP Template has been saved, a carbon copy of the template is created in your list of SOPs in the SOPs module. The saved template will also have a yellow "Template" badge next to it in your list of SOPs to more easily differentiate SOPs that you've created and SOPs that were created based on Simplifya SOP templates. You'll be able to edit, assign, and create new versions of the SOP just as you would any other SOP you've created from scratch.
Saved SOP Templates will appear with the "Template" badge in your Manage SOPs module.
How do I know if I've already saved a template?
The system tracks templates that you've already saved to your SOPs. Once you've saved a template, a date will appear in the "Last Saved" column for that particular template in the SOP Template Library module. You can click this date to see a list of all the times you've saved the template.
