With SOPs, cannabis companies have two measures for controlling permissions. In addition to permissions that can be customized on a per-role role (Managers and Employees) or per-user basis, you also have the ability to add or limit access to individual SOPs.
Default Permissions
If no permission customizations are made, the following are Simplifya's default permissions:
Administrators can:
- Do everything in the SOPs and SOP Template Library modules.
- Notably, they also have exclusive access to the "SOP Permissions" module, where they are able to manage what Manager and Employee users at their company can do in the SOPs and SOP Template Library modules.
Managers can:
- Create, edit, and delete SOPs
- Create new versions of SOPs
- Assign an SOP (to others as well as self)
- View all SOP assignments at the locations they are assigned to
- Delete entire assignments and instances of an assignment
- Manage SOP Categories
- Access the SOP Template Library module and view and save Simplifya SOP Templates (when access has been purchased from Simplifya)
Employees can:
- Create SOPs
- Assign SOPs to themselves
- View their own SOP assignments
Customizing Permissions (By Role and By User)
The SOP Permissions feature allows Administrators on the account to customize the aforementioned default permissions to allow greater (or more restricted) access in the SOPs module.
Administrators can access the SOP Permissions feature by clicking the ellipses icon in the top right of the SOPs module.
Once you land on the "SOP Settings" page, you'll notice two sections: "By Role" and "By User".
Customizing Permissions: By Role
Customizing permissions by role allows you to override the default settings for that role in Simplifya. Each of the settings is broken down in the top row, and you can check/uncheck based upon the actions you'd like that role to take.
You'll notice that the Administrator row is grayed out, as Administrators will always have all permissions every Simplifya module.

Customizing Permissions: By User
For maximum flexibility, you can also choose to set permissions for a specific user, in the event you'd like one Manager to have different permissions than the rest or you'd like to give an Employee greater access from other Employees.
To set permissions for a specific user, select that user from the dropdown in the "By User" section, and check or uncheck the permissions you'd like this user to have. Once you've updated this user's permissions, their permissions will ONLY be the permissions selected in the "By User" section. The permissions for that users role will no longer apply (unless you choose to remove custom permissions for this user.
Tip: To restore all permissions back to the Simplifya defaults above, click "Restore Default" permissions. But be careful with this action, as it will not only restore "By Role" permissions to the default, it will ALSO remove all custom user permissions. |
Which users can customize permissions?
By default, only Administrators have access to the SOP Permissions feature, but Administrators can grant access to Managers. When a Manager is granted access, they will only be able to manage SOP Permissions for the Employee role and only for users (Managers or Employees) at the locations they belong to.
