The "Duplicate" feature allows you to create a new audit that is a duplicate of an already finalized audit. It's kind of like creating an audit template, except duplicated audits have all of the questions already answered.
The goal with this feature was another stride toward making the audit process as easy as possible. Some users prefer to go through their audits question-by-question and make sure they're covering all their bases. Others just want to get a finalized audit report on the books and may feel like they don't need to go through every question, every single time. They know the areas that need attention and want to easily create a record of this along with the action item assignments in order to get them fixed. This feature will really make the audit process easier for the latter group of users.
By duplicating an audit, you can save time by working backwards: create an audit with everything answered already and then go through and change whatever answers you need to before finalizing.
How it works
Here's everything you need to know about duplicate audits:
- Only Administrators on your account can duplicate audits.
- Duplicate audits are new audits, with most aspects of the original audit being copied over to the new audit:
- All of the answers are copied over from the original audit.
- If risk levels were added to questions, those are copied over as well.
- If questions were marked as "Not Applicable", they're marked as "Not Applicable" in the new audit, too.
- Some aspects of the original audit are not copied over:
- Auditor Notes added to questions
- Files uploaded to questions
- The Audit Summary
- When creating a duplicate audit, the system checks to see if any new questions have been added since the original audit was generated. If so, they will appear on your new audit and will need to be answered. Any questions that have been deactivated from the system since the original audit was generated will not appear on your new audit.
- If there were no new questions added to your duplicate audit, the audit will already be in the Review stage when it's created. This is when you can go through and change answers to questions.
As a reminder, sometimes changing an answer to a question will trigger a subset of questions that need to be answered. This will send you back into the "Conduct" stage of the audit to answer these questions. - When a duplicate audit is in the Review stage, you can see the compliance status of all questions.
How to duplicate an audit
- On the Audits table, the "Duplicate" feature will appear in the ellipses icon of Finalized audits, only to Administrators.
- When clicked, a modal will open. Just select the Auditor(s), Due Date, add any notes to the auditor(s) if you want, and click the "Create Audit" button.
That's it! The new audit will appear on the Audits table.
Permissions
Only Administrators have access to the "Duplicate" feature on their Audits table. The following permissions apply:
- Administrators: Can create duplicate audits from finalized audits at all locations.
- Managers: Can be assigned duplicate audits.
- Employees: Can be assigned duplicate audits.
